How to edit a completed inspection
Fix a finished inspection on the web whenever something's off (a wrong date, a missed area, a blurry photo, a misspelled name, and more). Your edits go into a draft, and nothing changes on the report until you publish it as a new version. Every earlier version stays on record.
Start a draft
- Sign in on the web. Head to myinspections.com and sign in.
- Open the inspection. Open Inspections in the sidebar and select the inspection.
- Select Make changes. It's at the top of the inspection. You'll also find it at the top of the report.
- Select Draft changes. This opens the draft, ready to edit.
Each inspection has one draft at a time, shared by your team. If someone has already started one, you'll see Edit current draft instead, and you pick up where they left off. Everything you save stays in the draft until you finish or discard it.
Change the details
Select Edit next to the date and type to change either one, or next to Summary notes to rewrite them. Select Save when you're done.
Change the areas
- Edit an area. Select Edit on the area to rename it, change its condition or checklist, and update its notes and to-do's. Select Save when you're done.
- Add an area. Select Add next to Areas, name it, and select Add area.
- Remove an area. Open the area and select Delete.
- Reorder areas. Select Reorder next to Areas, drag them into place, and select Finish.
Change the photos and videos
Open the area with Edit, then:
- Add more. Select Upload photos/videos and choose your files.
- Add a note or remove one. Select the photo or video, then change its notes and select Save, or select Delete.
- Reorder them. Select Reorder, drag them into place, and select Finish.
Change who's on the inspection
Under Signatures, select Edit. From here you can add a person with their name, role, and email (optional), choose whether each person signs the report, or remove someone. Anyone who has already signed shows Already signed.
Publish your changes
- Select Finish. It's at the bottom of the draft.
- Choose what happens to signatures. If anyone has signed, we ask whether everyone should re-sign. Keep all signatures carries them onto the new version. Everyone re-signs the report clears every signature except your own. Select Save.
The report link and the PDF show the new version straight away. If you cleared signatures, everyone needs to sign again. See how to sign a report.
Changed your mind? Select Discard changes at the bottom of the draft to throw it away. The report stays as it was.
See earlier versions
Every published version stays on record. Open the inspection on the web and find Versions under Papertrail. Each one shows who made it and when, marked Latest or Draft. Select a version to open the report exactly as it was. On a report that's been edited, select the time next to Last updated to see the same list.
Earlier versions are read-only. Only people signed in to your account can open them.
Who can edit
Anyone on your team can edit an inspection they can open, whatever their role. People you've shared the report with, and people who only sign it, can't. See team roles and permissions.
